Within 24 hours of your inquiry, a dedicated travel planner or consultant will contact you to schedule a complimentary, no-obligation consultation, in case we require more information about your initial inquiry.
Our Role:
We’ll ask insightful questions, offer initial ideas, and explain how our services work. This consultation is the foundation for your custom itinerary. It helps us understand more of the reason behind your trip, your expectations and we share some brief ideas before starting on the crafting process of your itinerary.
Custom designing your Itinerary
Based on our interaction, your dedicated travel planner will craft some drafts of itineraries basing on your ideas/requests and ours. We leverage our expertise and local partner network to design a unique holiday blueprint.
We then share our proposal to start with for your reference to see that we’ve captured every detail as needed by you. We’ll do as many adjustments as you require to make sure everything is fine-tunned to your preference.
Most times we will require a non-refundable fee between 100-200 USD or CAD to prepare your package itinerary.
When you’re satisfied with the draft, you’ll receive a detailed, visually appealing proposal that typically includes; A day-by-day itinerary outline, Hand-picked accommodation options with descriptions where possible, Proposed activities or excursions and tours, Cost (s) as well as Our professional insights and recommendations if any.
Review; We encourage you to review the proposal at your leisure, discuss it with your travel companions, and compile any questions or desired revisions before confirmation/ booking. We want your holiday to be perfectly yours.
Confirming your Holiday
Once you are delighted with the final itinerary and provide your approval, we move to the booking phase.
We will send you a formal Booking Agreement summarizing all the services, terms, and conditions, along with a deposit invoice.
The Deposit; To secure your bookings, a deposit; typically, 20-30% of the total cost (depending on the suppliers) is required. Full payments for special passes or activity permits and tickets may be required and are mostly non-refundable but adjustments can be made with prior notice for free or at a cost (we strongly recommend reviewing our T&Cs). We accept various secure payment methods and are advised at invoicing.
Upon receipt of your deposit and signed agreement, we immediately begin reserving all components of your trip.
Final payment is due as the trip agreement stipulates.

In the weeks leading up to your departure, we ensure you are fully prepared for your dream holiday. We provide you destination info to ensure your swift travel and ensure your holiday is nothing short of amazing.
Approximately 2-3 weeks before you travel, you’ll receive your comprehensive Travel Dossier, containing; Your final, detailed itinerary with contact information, All booking confirmations and vouchers, Flight e-tickets (if booked through us), Some destination information, packing tips, cultural, health and legal notes, 24/7 emergency contact details for Avens Travel World or its representative in host destination.

Our commitment doesn't end when you board the plane. You’ll have a dedicated, local emergency number to call for any unforeseen issues, from missed connections to last-minute questions. We’re here for you, round the clock.
